Instruction for Presenters & Chairpersons
Presentation time for oral presentation
15 minutes (12 minutes for presentation and 3 minutes for discussion)
The oral presentation room (The Grand Garden) will have LCD projector, and a conference PC running Windows 7 with PowerPoint and Adobe Acrobat Reader installed. In order to reduce the time between presenters, we strongly encourage the presenters to use the conference PC.
- Before your session...
Presenters can copy their presentation file in Microsoft PowerPoint or Adobe Acrobat format on the conference PC prior to their session (e.g. during coffee break) with a USB memory stick and can briefly check it beforehand. Traditional overhead projectors will “NOT” be available. Presenters are requested to verify that the presentation displays correctly. This will help ensure that your presentation will proceed smoothly.
Please be sure to be seated in the presentation room 5 minutes prior to the start of the session.
There is no rehearsal room reserved. Please make sure in advance that your file works correctly in the oral presentation room.
- During your session…
Each presentation has been allocated a time slot of 15 minutes, including questions and handovers. This means that your speech must be either about 12 minutes long in order to allow questions and discussion after the presentation. Please do not forget that some time is needed also for walking to/from the podium, setting up the microphone, and the introduction of the speaker by the session chair.
The session chairs have been instructed to terminate overrunning presentations in order to ensure that every presenter has the same amount of time. If you exceed your time, you risk missing the chance for questions or even completing your presentation. So, please practice the timing in advance!
The Poster Session will be held at the corridor in front of the Ground Beach at 13:30-15:30 on March 3. Each poster presenter will be provided a poster panel of dimensions 180cm high x 90cm wide. When preparing your poster, please note that the poster numbers will be shown on your poster panel. Poster panels will be available for setting from 08:30 on March 3. All presenters are kindly asked to complete their preparations before starting the poster session. All the presenters can use double sided tape and/or Scotch tape for displaying your poster. Do not use pins for poster panels.
Poster presenters are expected to have their posters displayed by the beginning of the session, and be available to discuss their poster for the duration of the session. If you want to keep your poster, you must take it with you at the end of the March 3. You cannot take the poster panels. Any posters remaining after the end of the March 3 will be discarded.

Please arrive at the chairperson’s desk at least 15 minutes before your session is scheduled to commence. Please check that presenters of the session are seated in the room before the start of your session.
- During your session…
Each presentation has been allocated a time slot of 15 minutes, including questions and handovers. Please terminate all overrunning presentations in order to ensure that every presenter has the same amount of time.
For each day, the closing time is to be strictly adhered. Thank you very much for your kind cooperation in advance.
